How To Print Ceremony Programs & Menus With Microsoft Word
The free templates below are in DOC format and can be opened with Microsoft Word, Works or other word processing software compatible with this format such as OpenOffice.org Writer and AbiWord--both free. Right click on the corresponding template link to save the file to your local hard drive. Please be aware that not all invitation templates are available. Step One: Open The Template [top] After you have downloaded the template file, open Microsoft Word, go to File, Open... and browse to the template file. Select the file and click Open.Step Two: Insert Program Wording [top] Replace the placeholder text with your custom program wording. Choose a typestyle and font size of your preference.At this point you can choose to insert clipart, images and/or borders, while making sure that these elements do not interfere with any preprinted or embossed design on the program cover. To insert clipart, choose Insert on the menu, Picture, Clipart..., and browse to the image you'd like to use. To add borders, choose Format, Borders and Shading... and pick a style and thickness. Step Three: Prepare A Test Sheet [top] Once the program wording is in place, place a blank test sheet into the printer tray. The test sheet should be the same dimensions as the unfolded program. Place an "X" on the test sheet before running it through the printer. This will help you determine which side faces down. Go to File, Print... and notice that the Print window appears on the screen.Please note: If you are printing on a laser printer, you may want to use the manual paper feed instead of the default paper tray. The manual feed on most laser printers ensures that the paper will follow a straight path through the printer that helps to prevent any curling or bending that may occur when using a bottom-feeding paper tray. Using the manual feed is important for heavier paper stocks, and ensures a professional result for all projects. Step Four: Select Paper Tray [top] In the Print window, click the Properties button and make sure that the correct printer tray is selected. For a tri-fold program or other program measuring 8 1/2 x 11 in. unfolded, click OK in the Properties window and again on the Print window to print a test sheet. Skip to Step 6.For all program sizes other than 8 1/2 x 11, continue to Step 5. Step Five: Specify Program Size [top] For program sizes other than 8 1/2 x 11 in., you will need to specify the exact dimensions of the program in the Print Properties window. Click on the Paper/Quality tab and locate the drop-down menu for Paper Size. The default paper size is Letter. If your program is a non-standard size, you will need to create a custom paper size that will be added to the drop-down menu.To create a custom paper size, click the Custom... button. This button is usually located just below the drop-down menu for paper sizes. Specifying a paper size for your ceremony program: ![]() Please note: The Print Properties window may differ from the window pictured above depending on your printer model. After clicking the Custom... button, a window called Custom Paper Size will appear. Enter the width and length of the unfolded program in in. according to the orientation of the program as it is fed through the printer. The width is typically the meausrement of the short side of the program, and the length is the longest side. Give the custom size a name to identify it in the menu, and click Save. In order for the new size to appear in the Paper Sizes drop-down menu, you will need to first click Cancel on the Properties window and again on the Print window. Go back to the menu by going to File, Print..., clicking on the Properties button in the Print window and then the Paper/Quality tab. Select your custom size from the drop-down menu (it will be saved under the name you assigned to it). Now that you've specified the size of your program, you are ready to print! Continue to Step 6. Step Six: Print A Test [top] With the correct paper tray and paper size selected in the Print Properties window, click OK on both windows to print your test sheet.Place your printed test sheet over top of a blank program and hold it up to the light to make sure the text lines up the way you intended. You may need to adjust the document and print more than one test sheet to get the correct positioning. When the text lines up correctly, you are ready to print your programs! We suggest printing 10-30 sheets at a time when using a regular paper tray in order to ensure that the printer does not run out of ink or begin to smudge or crinkle the programs.
