Printing 2-Up Vellum Overlays With Microsoft Word

Step One

Download the vellum template file and open it in Microsoft Word.

Step Two

Replace the placeholder text with your own announcement wording. If you need sample wording, see our examples of save the date wording and birth announcement wording. Choose a font typestyle, color, and size for the wording on the left side of the document. Ensure that the text does not extend farther than 3 inches from the left edge of the document. When you have finished formatting the wording on the left side, copy it to the right side of the document.

Step Three

Use the Ruler feature in Word to align the wording vertically and horizontally so that both halves of the vellum will print identically. (To turn on the ruler, go to View… on the menu and click on Ruler). When you are ready to print, go to File and choose Print…. When the Print Window appears, click on the Properties button.

Step Four

In the Print Properties window, common paper sizes are listed in a drop-down menu under the Paper/Quality tab. The default paper size is Letter. The vellum overlay is an uncommon size, measuring 4 5/8 x 6 3/4 inches, so you will need to create a custom size.

To create a custom paper size, click the Custom… button. This button is usually located just below the drop-down menu for paper sizes.

Please note: The Print Properties window may differ from the window pictured above depending on your printer model.

After clicking the Custom… button, a window called Custom Paper Size will appear. Enter 4.63 inches for the width and 6.75 inches for the height (the vellum will feed through the printer on the long edge). Give the custom size a name to identify it in the menu, and click Save. In order for the new size to appear in the Paper Sizes drop-down menu, you will need to first click Cancel on the Properties window and again on the Print window. Go back to the menu by going to File, Print…, clicking on the Properties button in the Print window and then the Paper/Quality tab. Select your custom size from the drop-down menu (it will be saved under the name you assigned to it). Make sure that the Print window specifies a Portrait orientation of the paper.

Step Five

Place a blank test sheet into the printer tray. The test sheet should be cut to the same dimensions as the vellum overlay. Click Ok on the Print window to print on the test sheet. Place the test sheet beneath the vellum overlay to see if the text is lined up correctly. If the text is misaligned, you may need to adjust the margins of the document. If the test sheet printed correctly, then place the vellum overlays in the printer tray and continue printing.

    Nice. Thanks for putting up a step-by-step procedure including links to files. Also, it saved paper by printing 2 invites on a single paper.

    Set your printer properties to “ink jet transparencies” instead of plain paper. Vellum is not absorbent, so it needs very little ink. It also smears easily, so set them out individually to dry.
